Q: How do I log a check-in in the Portal?

A: You can log check-ins by clicking Add check-in from the Check-ins & Needs tab under the ECFIK dropdown in the left-hand navigation, the My Families page, a Student Profile (be sure to select ECFIK check-in), or a Family Profile.

Q: What should I include in a check-in note?

A: Include a short summary of your interaction and any emerging student or family needs.

Q: Can I edit check-in notes after saving them?

A: Yes, notes can be edited as needed while following your school’s documentation policies.

Q: Where do I view and update student or family needs?

A: Go to the ECFIK dropdown → Check-Ins & Needs, then switch the toggle to Needs.

Q: What can I do on the Needs page?

A: You can view needs, update statuses, add new needs, and filter or group by family, need type, or status.

Q: Why should I keep need statuses updated?

A: It ensures your team has an accurate picture of progress and next steps.

Q: How does the Portal use AI to suggest needs?

A: The Portal scans your check-in notes for keywords that indicate needs and generates AI-suggested needs.

Q: Where do AI-suggested needs appear?

A: They show up in the Needs tab with an ✨ AI-suggested label.

Q: Can I remove or change AI-suggested needs?

A: Yes you can delete them, update their status, or add new needs manually.

Q: How do I collect consent for ECFIK?

A: Consent can be collected electronically in the Portal or through hard copies.

Q: Where do I submit hard copy consent forms?

A: Email signed forms to Naya Brown ([email protected]).

Q: Why is my ATS list different from the Portal’s ECFIK list?

A: The Portal only includes students who lived in a DHS shelter at any time since 9/1/24.

Q: Do students remain eligible if they leave shelter or enter foster care?

A: Yes, they remain eligible for the school year.

Q: Can non-DHS shelter students be added?

A: No, but you can contact Lamson at ([email protected]) the ECFIK team to discuss support options.

Q: How do I print my activity log for payroll?

A: Go to the Student Page, scroll to the Activity section, and either take a screenshot or use the print option to print your activity log.

Q: How often should Caring Adults log check-ins?

A: Weekly, at minimum. Caring adults should be meeting with students daily and families weekly. An entry for families and an entry for students must be logged weekly.

Q: Who do I contact for additional support?

A: Email [email protected] for Program related questions or [email protected] for Portal related support!

Q: Can I use the note option to log interactions?

A: No, only ECFIK check-ins will be recorded as an ECFIK interaction. Regular notes will not count toward the program.
