How to log and update ECFIK check-ins and needs in the Portal

Learn how to log check-ins for your assigned students and families participating in the Every Child and Family is Known program, how the Portal uses AI to help suggest family needs based on your notes, and how to add and update family needs and statuses

Overview

The Portal by New Visions has partnered with Every Child and Family is Known to build features for Program Points and Caring Adults to support the families in their care.

This guide will show you how to log your weekly check-ins in the Portal for your assigned children and families, tag emergent family needs, and understand how the Portal uses AI to help suggest family needs based on your check-in notes.

How to log a new check-in

You can log ECFIK check-ins from any of the following pages:

  • Check-ins and needs

  • My Families

  • Student Profile (Every Child and Family is Known panel)

  • Family Profile

From any of those pages, click "Add check-in":

How to manage and monitor needs

To effectively manage and monitor student needs, follow these steps:

  • Access Check-Ins and Needs

    • Click the ECFIK dropdown in the Portal and select Check-In & Needs.

    • This will bring you to a centralized view where you can track both student check-ins, family check-ins and family needs.

  • Access family Needs

    • Use the toggle button at the top to switch from Check-Ins to Needs.

    • In this view, you’ll see a list of student needs along with the current status (To do, In Progress, Resolved).

  • Update Need Status

    • Update the status of each need directly from this page regularly to ensure your team has an accurate picture of student support progress and helps prioritize next steps.

  • Additional Tips

    • Use Group by filters to narrow down by family, need type, or status to quickly find relevant items.

How the Portal uses AI to suggest relevant needs

The Portal uses AI to analyze the notes you enter during check-ins and suggest relevant student needs. Here’s how it works:

  • AI analyzing Notes

    • When a check-in note is created, the AI scans the text for keywords or phrases that may indicate a specific need.

    • For example, a note saying “Eliza needs socks and a sandwich” would generate AI-suggested needs for Clothing/Laundry and Food.

  • AI-Suggested Needs

    • Suggested needs appear in the Needs tab with an “✨ AI-suggested” tag so you can easily identify them.

    • You can update the status of each need (To do, In progress, Resolved).

    • Remove incorrect suggestions by clicking the ‘x’, or add new needs manually using the + Add need button.
