Good day π
The Portal by New Visions supports you in ensuring that students are correctly scheduled from the very beginning of the term. Our scheduling gaps features help you identify students whose current schedules prevent them from finishing the term on track in credits, allowing you to make timely corrections.
Here is everything you need to know!
Where can I see scheduling gaps in the Portal?
From the Home page, in the Core 4 module |
|
From the Credits dashboard |
|
From the Data Grid, in the Scheduling Gaps Portal view under Credits | |
From the Student Profile in the Credit Gaps panel |
What is a scheduling gap?
A scheduling gap represents the number of credits a student will end the term deficient in if their program does not change; or, said differently, the number of credits a student needs to add to their current schedule to have a shot at ending the term on track.
We calculate scheduling gaps for each student in each credit area, and overall.
For example, the image below shows that Gregory Martin has a total gap of 4.42 credits, which includes specific gaps of 1 in ELA, 2 in Math, 1 in Total Science, and 0.42 in PE.
How are scheduling gaps calculated?
Our scheduling gap calculations are based on your school's unique credit settings, which define your expectations for how many credits students should accrue by the end of each term of high school. Be sure these settings are accurate at the beginning of each school year.
We identify gaps by comparing a student's earned plus scheduled credits to their expected credits at the end of the term. For example, according to the settings below, a sophomore entering their third term of high school is expected to end the term with 3 ELA credits. If their earned plus scheduled in ELA is less than that, the difference would be flagged as a gap.
How do I resolve scheduling gaps for my students?
Resolve scheduling gaps by adding needed courses to student programs in your source system. We'll sync your programs every night, and keep track what's been resolved and what's still outstanding (check out the Progress since start of term section in the new Credits page).
The Credit Gaps panel in the Student Profile can help you identify the courses needed to resolve a gap. Follow the steps below:
Select a credit area where the student has gaps (the red boxes)
Use the course history on the left to review the student's transcript within the selected credit area
Pay close attention to the Not remediated courses, these are likely the courses that are needed - they were failed, not subsequently passed, and are not currently scheduled (for example, the student below has 1 ELA gap and it's likely in EES86)
Use the schedule on the right to see how the additional courses may fit into their current schedule
What if scheduling gaps can't be resolved this term?
Not all gaps can be resolved in the current term, especially if a student has multiple gaps or the needed courses are not offered now. In these cases, use the Add course plan button to record what courses are needed and when the student should take them. This is a critical step to ensuring that every student has a clear pathway back to on track.
From the Credits dashboard you'll soon be able to view a comprehensive list of plans across all your students. If plans have been added for the current term, you'll be able to export them to CSV for easy upload into your source system.
