Hello!

Batch Actions is a feature in the Portal that allows you to efficiently take an action for a group of students at the same time, rather than performing the action per individual student. This allows you to narrow down to a similar group of students to generate student reports, assign students to the same support, or edit student fields for these students. The sections below provide additional detail on how to perform Batch Actions in any Student List View and using the Data Grid.

Overview

Using the Student List View

Follow these steps to take an action for a group of students in the Student List View:

  • Navigate to a list view from the main Left-side navigation (Attendance, Screeners, Formative Assessments, Supports)

  • Click the 1st dropdown to select a key metric, the 2nd dropdown to filter for the students you would like to focus on, and the 3rd dropdown to group your students.

  • Enable Batch Actions in the List from the Right-side Toolbar

  • Check the boxes next to the names of students you would like to take a bulk action for

  • Select the batch action you want to take:

    • View Profiles: Check the boxes next to the names of students whose profiles you would like to view. Select View profiles to scroll through a group of students individual student profile. When you finish reviewing a student’s profile use the arrow in the upper right hand corner to scroll to the next student.

    • Supports: Check the boxes next to the names of students you'd like to assign to a Support. On the right side, click Supports and Assign support. Start typing the name of a Support that has already been created, or type in the name of a new Support that has not yet been created. Click the Support you want to assign the selected students to, or if you've not yet created the Support, click Add new support and create a new Support. Select the Student Start and End Date (the dates that a student is assigned to the Support that may be within the Support start and end date) and click Assign.

    • Edit Fields: Check the boxes next to the names of students you'd like to edit fields for. Select Edit fields to assign attendance point person, assign academic point person, and any other student field options.

    • Generate Report: Check the boxes next to the names of students you'd like to generate a student PDF report for. Select Generate report and use the dropdown to select the report you want to generate. Click Generate.

Using the Data Grid

Follow these steps to take an action for a group of students in the Data Grid:

  • Click Data Grid on the left-side nav panel

  • To change the data being displayed select Edit Columns to choose relevant data

  • Check all relevant boxes and save by selecting the Apply # Columns

    • The # will indicate how many columns you've selected for display

  • Click on the Batch actions in the tool bar. Check the boxes next to the names of students’ you want to take a bulk action for.

  • Once you have selected your students, select the bulk action you want to take:

    • Select View profiles to scroll through a group of students individual student profile. When you finish reviewing a student’s profile use the arrow in the upper right hand corner to scroll to the next student.

    • Click Edit, then Supports to assign support, remove from support, or mark a support as complete

    • Select Generate reports to generate student PDF report. Report options:

      1. Student snapshot - Allows users to view student attendance trends for the current school year with a monthly breakdown of specific dates missed, monthly attendance percentage, a quick view of recently completed screeners and overall state exam scores

      2. Academic Report - Allows users to view YTD attendance, count of days missed, assigned supports and a quick view of recently completed screeners, overall state exam scores and F&P data

      3. Student Assessment - Allows users to view a comprehensive view of screener data and F&P scores

      4. Dessa (SEL) Report - Includes information about social-emotional learning and the DESSA (SEL) assessment, your school’s contact number, and that student’s DESSA (SEL) ratings for the current school year

    • Select Edit, then Edit fields to assign attendance point person, assign academic point person, and any other student field options
