This article will show users how to create a Sync Sheet. Portal Synced Sheets allows you to access realtime Portal data from a Google Sheet. Note: The sync sheets can only be created with users using their GAFE account. The school admin (principal) has to add school users Google email to their profile on the User Management page in order for them to access Sync Sheet. Creating Synced Sheets
Follow these steps to create your Synced Sheet:
Click on Other tools from the main left sidenav.
Select Create new sheet
Provide sheet info. Sheet name: This will be the sheet title. Students to include allows you to specify which students appear in the sheet.
Click Next to select the columns you wish to include in your sheet
Click Next to choose your update frequency and set automatic daily updates by selecting Daily
The title for the sheet will appear on the Synced Sheets page, and will say Submitting Your Request until the process is complete. Note: In addition, an email with a link to the sheet will be sent to the user who created the sheet.
Example Attendance Synced Sheet
Follow these steps to create your Attendance Synced Sheet:
Click on Other tools from the main left sidenav.
Select Create new sheet
Enter sheet info:
Sheet name - SY30-31 Attendance
Student Status - Active Students
Students to include - All Students
Click Next to select the attendance data points
Count of Days Absent: Last 5 Days
Attd Today
Attd Last 20 Days vs. YtD
Attd Last 20 Days
Count of Days Absent: This Term
Count of Days Absent: YTD
Count of Days Absent: Last 10 Days
Count of Days Absent: Last 5 Days
Click Next and set automatic daily updates by selecting Daily
The title for the sheet will appear on the Synced Sheets page, and will say Submitting Your Request until the process is cfrom Sync SysDaar (via Google Sheets) with a link to the sheet will be sent to the user who created the sheet.
Accessing Created Sync Sheet for Review
Click on Other tools from the main left sidenav.
Scroll to the school year you created the sync sheet in (i.e., SY2021-22)
Click on the created synced sheet to access or click on the three dots on the right of the synced sheet to edit the data points.
Note: you can also access the created sync sheet via the email sent by Sync SysDaar (via Google Sheets) with the title of your synced sheet in the subject line.
